What is suyla.ai?

suyla.ai is a customer operations platform for appointment-based small and medium businesses. It answers the messages that arrive on your existing WhatsApp number with AI, offers open slots and books appointments, sends reminders before each visit, and keeps every customer's full history in one dashboard.

In short: a receptionist that works where your customers already write, and never sleeps.

How is this different from a chatbot?

A chatbot replies and stops there. suyla.ai finishes the job: it sees the real gaps in your calendar, creates the appointment, prevents double bookings, schedules the reminder, and files the conversation under the customer record.

It also speaks from your actual data rather than canned scripts — your services, durations, prices, working hours and your own saved answers.

Which businesses is it for?

Any business that runs on appointments and talks to customers on WhatsApp: dental clinics, beauty and care salons, law firms, veterinary clinics, insurance agencies, consultants, studios.

It works even if your sector is not on that list — the assistant speaks from the services and rules you define, with no industry-specific setup.

Will my customers know they are talking to an AI?

The assistant speaks in your business's name and never claims to be a person; asked directly, it says it is an AI assistant.

When a question is outside what it knows or is allowed to decide, it hands the conversation to you instead of inventing an answer — so the customer still hears back, from you.

Which languages does it reply in?

Turkish and English by default. The assistant detects the language the customer writes in and answers in the same one; you choose which languages are allowed in settings.

The dashboard itself is available in Turkish and English too.

Setup

How long does setup take?

Usually 15–20 minutes, in three steps: connect WhatsApp by scanning a QR code, enter your services and working hours, add your staff.

The dashboard shows a setup checklist so you can see what is still missing. Completing it matters, because the assistant only uses active services and active staff.

Do I have to change my WhatsApp number?

No. The number your customers already write to stays exactly as it is — no porting, no second line, no forwarding.

The connection is made by scanning one QR code from your phone, the same way WhatsApp Web works.

Do I need a WhatsApp Business API application or approval?

No. There is no Meta application, no message-template approval and no waiting on a review.

Your existing WhatsApp or WhatsApp Business account is enough.

Does my phone have to stay switched on?

Once connected, the session is kept on our side; your phone's screen does not need to be on.

If you log the session out from your phone (remove it from linked devices), the connection drops. The dashboard shows that it disconnected and you reconnect with a QR code.

Can two accounts connect the same WhatsApp number?

No. A number can be linked to only one business account at a time, and this is enforced in the database.

The reason is simple: if two accounts listen to one line, an incoming message has no clear owner and the assistant could answer with the wrong business's services and prices. To use the number on another account, disconnect it from the first one.

The AI assistant

What does the assistant know?

Only what you enter: your business name and type, address and contact details, services (duration and price), staff, working hours, saved answers and booking rules.

It is instructed not to go beyond that — never to invent a price, an opening hour or a policy. When it does not know, it does not guess.

Does it share my prices with customers?

That is your call. Price sharing can be switched on or off in settings. With it off, the assistant gives no prices and points the question to you.

Talking about discounts is a separate option and off by default — the assistant will not offer a discount on its own.

Can I take over a conversation myself?

Yes. Every conversation is live in the shared inbox; take over with one click and write yourself. Once you do, the assistant stops replying in that thread.

When a customer uses one of the keywords you flag (complaint, refund, lawyer, and so on), the assistant hands the conversation over to you on its own.

What if the assistant says something wrong?

Every reply is logged and visible in the conversation history, so you can take over and correct it.

The lasting fix is usually to close the information gap: add the service, the price or the saved answer and the assistant gets it right next time. You can also add topics you would rather it never discuss to the forbidden list.

Does it reply outside working hours?

Yes, around the clock by default — messages arriving at midnight not going unanswered is one of the biggest wins here.

If you prefer, you can have it send only a notice you write yourself outside business hours. Either way, the slots it offers always respect your working hours.

Can I set the assistant's tone?

Yes. Choose between friendly, professional and warm, and turn emoji on or off.

You can also write your own answers to frequently asked questions; the assistant uses your wording instead of its own.

Appointments and calendar

Does it book directly, or wait for my approval?

Either. In automatic mode the assistant finds a free slot, books it and confirms to the customer. In approval mode the appointment is saved as pending and is not final until you approve it.

Even in approval mode the slot is held from the moment it is offered to the customer — the same time is never offered to a second person.

Can two appointments land on the same slot?

No. Overlap is blocked in two layers: the assistant accounts for busy times when offering slots, and the database refuses two overlapping appointments for the same staff member.

So an appointment entered by hand in the dashboard cannot collide with one the assistant creates, either.

How do reminders work?

A reminder is scheduled automatically when the appointment is created and sent over WhatsApp. The default is 24 hours before; you can change that, and define more than one reminder.

If the appointment is cancelled or already in the past, the pending reminder is not sent.

Can customers cancel or reschedule themselves?

Yes, by writing on WhatsApp. You set a cut-off: by default, when there are fewer than 24 hours to go the assistant does not cancel on its own and passes the request to you.

An approved cancellation closes the appointment, drops the scheduled reminder and deletes the Google Calendar event if the calendar is connected.

What does the Google Calendar integration do?

It works both ways. Appointments created in suyla.ai are written to your calendar as events and removed when cancelled; busy times already on your calendar are read, so the assistant never books over them.

Connecting is optional and can be undone with one click. Calendar data is not used for advertising and is not passed to third parties.

Is availability tracked per staff member?

Yes. Every appointment belongs to a staff member and availability is computed per person, so two people can see two different customers at the same time.

The calendar can be viewed by day, three days or week.

Can I set booking rules?

Yes. How soon an appointment may be booked (1 hour by default), how far ahead it may be booked (30 days by default) and the cancellation window are all configurable.

Working hours are set per day and closed days are marked closed; the assistant never offers hours you are shut.

Pricing and subscription

What does it cost?

There is a single all-inclusive plan — no tier comparison, no per-use fees, no message caps. The current monthly price is on the pricing section of the home page.

The price is per business, not per user: up to 5 team members are included.

How does the free trial work? Is a card required?

14 days free, and it starts without a credit card. Everything is open during the trial — WhatsApp connection, appointments, reminders, calendar, documents.

Card details are entered only when you decide to subscribe, on Stripe's own secure checkout page. They never reach our servers.

What happens when the trial ends?

If you do not subscribe, dashboard access locks; your data is not deleted and stays where it is. Subscribe and you pick up where you left off.

The trial end date is shown as a countdown in the dashboard, so it is never a surprise.

Can I cancel the subscription?

Yes, there is no commitment. Manage it from the dashboard and cancel whenever you like; service continues until the end of the period you have paid for.

If you want your account and all its data permanently deleted, you can do that from the dashboard yourself.

How does the referral programme work?

Your dashboard carries a referral code. When a business that signs up with it becomes a paying subscriber, a monthly credit is applied to your invoice, and it repeats every month the referral stays active.

Referrals stack. There is a floor, so the invoice never goes below zero.

How many people can use it?

Up to 5 team members at no extra cost. You invite them by e-mail.

Everyone sees the same inbox and the same calendar, and who took over a conversation is visible to the whole team.

Privacy and security

Where is my data stored?

Customer records, conversations and appointments are stored on servers we operate (DigitalOcean, London). Each business's data is separated at the database level; one account cannot see another's records.

To generate a reply, the relevant conversation text is sent to our AI provider (OpenAI, USA). The details, and the cross-border transfer disclosure under Turkish data protection law, are set out in the Privacy Policy.

Are my conversations used to train AI models?

No. Your conversations are not used for model training; they are processed only to answer that conversation and to show it to you in the dashboard.

We do not use your data for advertising and do not sell it to third parties.

How does this stand under data protection law?

Your business is the controller of its own customer data; suyla.ai processes that data on your behalf. What is processed, why, for how long it is kept and how it is transferred abroad are stated in the Privacy Policy.

When a customer asks to be erased, you can delete that customer record and its conversation history from the dashboard.

Can I delete my account and all my data?

Yes. Delete your account yourself from the account section under settings; it covers your customers, conversations, appointments and documents, and cannot be undone.
